A Process Built Around You: Our Architectural Process at KCB

At At KCB Architects, we believe great architecture is more than just a finished building — it's a thoughtful, collaborative process that turns ideas into reality. Whether it’s a modern addition, a full renovation, or a custom new build, our architectural design services are structured to guide homeowners clearly from vision to construction.

In this post, we’re pulling back the curtain to walk you through our step-by-step design process. From the first zoning check to final permit drawings, here’s how we work:

Initial Inquiry

One we receive an inquiry, we set up a complimentary site visit for an architect to evaluate your property, listen to your goals, and help you decide if moving forward makes sense — both practically and collaboratively. We then will tailor an architectural design service proposal that outlines what will be designed, how it will be done, what it will cost, and what the client will receive.

Phase 1: Concept Design – Laying the Groundwork

Every successful project starts with understanding the context — both the site and the client's goals. Phase 1 is about discovery and idea development.

1a: Zoning & Site Analysis

We begin by reviewing the local zoning ordinance and reaching out to the municipality. This includes researching property setbacks, lot coverage, and floor area ratio (FAR) restrictions.

1b: Measuring & Modeling the Existing Conditions

Next, we measure and scan the existing home. This gives us an accurate foundation to build from. We document:

  • Existing floor plans

  • Elevations

  • Roof slopes and overhangs

  • Key structural features and appliances

Using this data, we create a 3D model of the home to better visualize potential changes.

1c: Concept Design

With the foundation in place, we move into creative exploration. We present multiple preliminary layouts for discussion, including:

  • Site plans

  • Floor plan options

  • Exterior sketches and 3D views

We include 3 standard meetings that are collaborative and iterative. We work closely with our clients to refine the design, responding to both practical needs and aesthetic goals. At the end of this phase, we deliver a complete Concept Design package.

Phase 2: BID/ARC Design Review - Formal Review

Once the concept is approved from our client, we prepare it for formal review and contractor pricing.

2a: BID/ARC Drawing Set

We expand the drawings to include:

  • Full dimensions

  • Zoning calculations

  • Finalized exterior finishes

  • Color elevations and details for review boards

These are suitable for submitting to contractors for initial bids and are formatted to meet the requirements of the Architectural Review Commission (ARC) & Architectural Review Board (ARB).

2b: ARC Submission & Village Coordination

We handle the entire ARC submission process — from preparing application materials to attending review meetings. For some municipalities, that means working directly with Village staff and presenting the design at an ARC/ARB hearing.

**Note: Client may be exempt from Phase 2 depending on scope of work and municipality**

Phase 3: Permit Drawings – Making It Buildable

After ARC approval, we advance the drawings into a detailed technical set suitable for obtaining a building permit.

These permit drawings include:

  • Fully dimensioned floor, roof, and elevation plans

  • Site plan showing zoning setbacks

  • Detailed wall sections and material callouts

  • Window and door schedules

  • Electrical/lighting plans

  • Interior elevations for custom elements like kitchens and bathrooms

We also coordinate any final input from structural engineers, interior designers, or the homeowner as needed.

Beyond the Drawings: Optional Services

We’re often asked to remain involved beyond the design phases. For an additional hourly fee, we offer:

  • Bidding and contractor coordination

  • Construction phase support, including site visits and clarification drawings

  • Photorealistic renderings, upon request

Our role doesn’t have to end once the drawings are done — we’re here as a resource through the build.

A Transparent Fee Structure

Our fee model is often phase-based, meaning you pay as we progress and is broken into manageable steps. A retainer kicks off the work, and invoicing follows the completion of each phase.

We also provide pricing transparency around optional services, reimbursable expenses (like Village fees), and potential additional scope.
